AI voice tools such as ChatGPT and Claude are changing how hospitality professionals can work. “If you’re a GM on the run, you can dictate observations—like light bulbs that need replacing or rooms that need cleaning—and AI can structure it into tasks for your maintenance, housekeeping, and other teams,” Martin explains.

These tools also simplify process documentation, which has traditionally been time-intensive and cumbersome. “Structuring your thoughts to dictate a well-thought-through document is hard,” Martin says. “But dictating to an AI and having it organize an eight-minute verbal stream of consciousness into a usable document? That’s easy now.”

By turning verbal input into actionable tasks and documents others can reference, AI empowers you to act quickly and focus on what matters.

Encourage Others to Use AI

AI adoption works best when it’s embraced by everyone. Leaders need to talk openly about how they’re using AI and encourage their teams to do the same. Sharing personal examples and removing any stigma around using AI tools creates a culture of collaboration and innovation.

Be Cautious About Security

With great power comes great responsibility. “If you wouldn’t say it to someone on the street, don’t say it to AI,” Martin warns. Protect sensitive data by using AI tools with privacy features you can trust. Taking these precautions ensures AI supports you without compromising security.

Move Faster with AI to Win Business

In the hospitality business, speed is critical. Martin explains how AI can transform processes like responding to RFPs: “Sending a quote—like in the RFP process for meetings and events—requires a lot of back and forth. But all that crunching can be done by AI. You could technically have a reply back in 20 minutes, max. Verify it’s correct, press send, and you’re done.”

Faster responses win business. “The first one who gets it is going to get the deal,” Martin says. “If you’re slow, you’ll lose out.” AI can accelerate response times and give hotels a competitive edge in securing valuable business.
